Position: School Receptionist

General Description of Position

The School Receptionist serves as the initial point of contact for students, parents, and visitors, providing excellent customer service and administrative support to ensure the smooth operation of the school’s front office. The ideal candidate will have strong communication skills, a welcoming demeanor, and the ability to manage multiple tasks efficiently.

General Responsibilities and Duties

Front Desk Management:

  • Greet and welcome visitors, students, and staff with a friendly and professional demeanor.
  • Answer and direct phone calls to appropriate personnel; take and relay messages as necessary.
  • Handle inquiries from parents, students, and the general public, providing accurate information about the school.

Administrative Support:

  • Maintain the reception area in a neat and orderly manner.
  • Assist with the distribution of mail, notices, and other communications.
  • Manage the school’s general email account, responding to inquiries or forwarding messages to the appropriate staff member.
  • Keep organized filing systems.

Student and Staff Support:

  • Monitor student attendance and tardiness, recording and reporting absences in Blackbaud.
  • Assist with student check-in and check-out procedures, ensuring proper documentation.
  • Provide support during school events, such as open houses, parent-teacher conferences, and special assemblies.
  • Maintain student and staff directories and other essential records.

Security and Safety:

  • Ensure all visitors sign in and out, issuing visitor badges as necessary.
  • Monitor and control access to the school, ensuring that unauthorized individuals are not permitted entry.
  • Assist with emergency procedures and drills, ensuring the safety and security of students and staff.
  • Provide basic first aid to students in the main office.

Accountability (supported by and reports to): The School Receptionist reports to and receives support from the School Director.  S/he receives support from the Operations Manager.

Qualities, knowledge, and skills 

  • High school diploma or equivalent required; additional coursework or certification in office administration is a plus.
  • Understanding of and commitment to Waldorf education and CWS culture.
  • Excellent verbal and written communication skills.
  • Strong organizational skills, attention to detail and follow-through, and the ability to plan, organize, prioritize and coordinate multiple projects
  • Flexibility to work in a collaborative environment with many different bodies of governance and types of people.
  • Ability to be proactive, work without detailed direction
  • Strong interpersonal skills and customer service orientation
  • Ability to multi-task in a fast-paced environment and adhere to timelines.
  • Solid analytical and problem-solving skills.
  • Ability to maintain confidential information.
  • Computer skills required: Word processing, spreadsheet/database management
  • High proficiency with administrative software like Blackbaud.
  • Must be able to lift at least 15 pounds from the floor to four feet above the floor.

Work hours:

  • School Year: 37 weeks, 37.5 hours per week
  • Summer: No summer hours
  • School Breaks: Office hours not typically required during the 5 weeks of school breaks, but it is the expectation that ongoing task responsibilities will be addressed as needed.
